ACCOUNTS / GENERAL CLERK

Skills required for the job

Qualifications & experience

College Diploma or Bachelors degree in any field.

Educated in English medium of instruction at University and secondary school levels.

Around 2 years experience after college or University graduation.

Executive Secretary

1. Input of data to company system

2. Checking and input of messages

3. Distribution of files, invoices etc to respective offices as per needs

4. Typing of reports, letters and other documents.

5. Operation of fax, telex, word processor and company computer system

6. Processing and keeping records of superintendents' inspection reports and photos

7. General filing.

8. Keeping track of superintendents' travel records and holidays

9. Production and dispatch of Managers Reports.

10. Entering of commitments for Disbursements, travel and other incidentals.

11. Assisting with Reception duties.

Experience

Fresher / Previous Experience in Administration for 1 – 3 years

Qualification

Graduate in any discipline

Administration - Admin/Clerical

Performs general accounting duties in such areas as disbursements, expenses, fixed asset accounting, reporting, etc. Plans, forecasts, and analyzes financial data to project financial resource requirements.
2. Controls payment of company obligations; receives and records invoices; reimburses employees for approved company expenditures; develops related controls, procedures and reports. Controls payment of customers’ outstanding balances, including billing, crediting payments, and performing general ledger accounting entries. Records and analyzes costs incurred in relation to work performed and revenues generated - company forecast to actual costs. Establishes break-even points, and provides input to product pricing decisions. Analyzes credit worthiness of customers; ensuring proper and timely collection of balances owed to Nortel Networks.
3. Ensures timely and accurate payment of salaries and other remuneration to employees, complying with applicable tax withholding statutes and government record keeping requirements. Coordinates financial information for the monthly closing statements - “closing the books”; consolidates financial information for summary; provides reporting and analysis at the division, group, or headquarters level. Plans and reports the company’s federal, state and local tax returns, computing tax obligations according to prescribed rates, laws and regulations. Advises management regarding business decisions as they relate to tax matters.
4. Audits financial and control practices within distinct project centers for adherence to standard accounting principles and internal company policies and procedures.

Responsible for the shipping, purchasing and personnel functions of the company

You will have to supervise 1 or 2 staff.

Co-ordinating meetings for the COO & Staff

Professionally administer all incoming callsEnsure phone calls are redirected accordingly Greet guests in a professional, friendly, hospitable manner

Maintain attendance records and forward monthly Leave MIS to HR.

Purchase management & negotiation – stationery & office equipments.

Co-ordination with different departments for any requirements.

Handling printing related jobs, for eg. Visiting cards, Letter heads, etc.

Perform a variety of clerical duties

Female candidate will be preferred.

Minimum 1 year of relevant experience is a must.

SECRETARY TO CEO

Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.

Arrange conferences, meetings, and travel reservations for office personnel.

Complete forms in accordance with company procedures.

Compose, type, and distribute meeting notes, routine correspondence, and reports.

Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.

Locate and attach appropriate files to incoming correspondence requiring replies.

Mail newsletters, promotional material, and other information.

Maintain scheduling and event calendars.

Make copies of correspondence and other printed material.

Open, read, route, and distribute incoming mail and other material,and prepare answers to routine letters.

Schedule and confirm appointments for clients, customers, or supervisors.

Set up and maintain paper and electronic filing systems for records, correspondence, and other material.

Take dictation in shorthand or by machine, and transcribe information.

Collect and disburse funds from cash accounts, and keep records of collections and disbursements.

Conduct searches to find needed information, using such sources as the Internet.

Coordinate conferences and meetings.

Establish work procedures and schedules, and keep track of the daily work of clerical staff.

Learn to operate new office technologies as they are developed and implemented.

Manage projects, and contribute to committee and team work.

Operate electronic mail systems and coordinate the flow of information both internally and with other organizations.

Order and dispense supplies.

Prepare and mail checks.

Provide services to customers, such as order placement and account information.

Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions.

Supervise other clerical staff, and provide training and orientation to new staff.

Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
